Clients in different countries pay in different ways: some in euros to your bank account, some in dollars through PayPal, some “to your card.” Meanwhile, the tax office where you live wants a document for every payment. In CognitEase, each client sees the price in their currency and your payment details for their method, pays you directly, and receives a document for your bookkeeping without you lifting a finger. The money never passes through us, and there’s no commission.

When everyone pays their own way
- A client in Tbilisi asks whether they can pay in dollars, and you work out the exchange rate in your head.
- Some pay to your IBAN, some through PayPal, someone “sent it to your card,” and at the end of the month you match transfers against your messages.
- A client needs an invoice for their employer. You open a Word template and try to remember the last invoice number.
- Your tax advisor asks about § 19 UStG, and you’re not sure you ever put it on your receipts.
Prices in your currencies and payment straight to you
Exchange rates, conversions and “how much is that in złoty” disappear from your messages. You set your price in the currencies you work with and add your own ways to get paid: bank account, Wise, PayPal, card, payment link. The client picks their currency and method and transfers the money directly to you. You confirm the payment once it arrives.
Bookkeeping stops being a separate end-of-month job. After the session, the client gets a receipt or invoice as a PDF, following your country’s rules and in the language you chose for documents. Numbers run in sequence, the tax line matches your tax status, and you download all of the month’s documents as one archive and hand it to your advisor.

A client in Berlin pays €80, a client in Warsaw pays 350 zł, and nobody calculates “roughly at the current rate.”
Payment methods you already have.
Wise for clients in Europe, PayPal for clients in the US, a card for those nearby. Each method accepts its own currencies.
Payment details without the back-and-forth.
Clients see your payment details for their method and copy them with one tap. Nobody asks “can you send your account number” anymore.
You confirm.
A session counts as paid only once you’ve seen the money. You’ll never be on a call with a client whose money is “on its way somewhere.”
Payment reminders without you.
When a client is slow to pay, the bot reminds them, so you don’t have to message them yourself.
No commission.
The money goes straight to your account. We never touch it and take no percentage.
Receipts and invoices for your bookkeeping
In a new country, every payment needs a document, and it’s usually a separate chore: a Word template, a number from memory, tax wording you’re unsure about, and an email to the client with an attachment. In CognitEase, you specify once who issues the documents, which kind, receipts or invoices, and under which tax status. From then on, you don’t fill in documents by hand: all you do is confirm the payment.
Once payment for a completed session is confirmed, the client gets a receipt or invoice in the bot, and your copy is kept in the archive. Numbers run in sequence with no gaps, amounts that require an invoice with an address get an invoice, and the tax line matches your tax status. If you got the amount wrong, you void the document with a cancellation (Storno), just as in accounting, and the original stays in the archive. At the end of the month, you download all documents as one archive and forward it to your advisor.

What the documents handle
Receipt or invoice.
A simple receipt with name and amount, or an invoice with payment details and the client’s address. In Germany, a receipt without the client’s address only works up to €250; above that, choose invoices.
A document after the session.
A document is issued only for a completed and paid session, so you’ll never have to void one because of a reschedule.
Straight to the client in the bot.
The client gets the PDF as a message from the bot. Clients who get therapy reimbursed by an employer or insurer don’t need to ask you for anything.
A tax line for your status.
VAT included in the price with a net and tax breakdown, an exemption citing “§ 19 UStG,” or no tax line at all.
Numbering you won’t be embarrassed by.
2026-0041, 2026-0042, 2026-0043. Numbers run in sequence with no gaps, and there’s no counter to keep by hand.
A month in one archive.
All of the month’s documents as one file in the chat, for all clients or just one. All that’s left is to forward it to your advisor.
Why the money doesn’t go through CognitEase.
You receive the full amount.
CognitEase is not a payment intermediary. The client transfers money using your details, to your account, by your method. We don’t withhold a commission, don’t freeze payouts and don’t decide when to pass you your own money. Only your bank or Wise charges a fee, just as they would without us. You see every payment on your regular statement.
Why you confirm payments by hand.
The client marks that they’ve sent the money, but the session counts as paid only after you confirm it. That way you’ll never be on a call with a client whose money is “on its way somewhere.” If the transfer arrived but the client forgot to mark it, you confirm it yourself. An unconfirmed booking doesn’t hold a slot for weeks: after 48 hours it’s canceled, and the client is notified.
The bot sends payment reminders.
If a payment method has a deadline, for example three days for a bank transfer, the bot reminds the client. You don’t have to write “just a reminder about the payment” and wait for a reply.
A document as a snapshot.
A receipt or invoice records everything as of the moment it’s issued: your details, the client’s name and address, the amount, currency, payment method, tax line and language. If you later change your address or rate, documents from past months stay as they were. If you made a mistake, you void the document: a cancellation (Storno) is issued with a number and a reason, and the original stays in the archive.
Who it’s for.
For those who have registered as self-employed or as a sole proprietor in a new country and must issue a document for every payment. For those whose clients get therapy reimbursed by an employer or insurer and ask for an invoice with an address. And for those who are simply tired of matching transfers from three banks against the bookings in their calendar.
Questions about money.
Does the money pass through CognitEase?
No. The client transfers it directly to you using your payment details. We show the client how much to pay and where, and pass their payment note on to you. You confirm it yourself. This also means we can neither delay nor withhold your money.
Is there a commission?
CognitEase charges no percentage and no fixed fee on payments. Your bank, Wise or PayPal may charge a fee, as usual. We don’t know how much you received and take no cut of it.
What about refunds?
You refund the client directly, using the same method they paid with. The payment document is voided with a cancellation (Storno), and the original stays in the archive. You describe your refund policy in your terms, which clients can see in the bot.
Can I choose not to issue documents?
Yes. Documents are off by default and turn on once you’ve specified in whose name they’re issued. You can also issue them manually, only when a client asks. Turn them on any time later; past sessions won’t be affected.
What language will the invoice be in?
The one you chose for documents: Russian, Ukrainian, English or German. It doesn’t depend on the app language, so your bookkeeping is in the language of your country and the interface is in yours.
