Practice after relocation: clients in three countries

You moved, and your clients stayed where they were: some in Berlin, some in Tbilisi, some in Warsaw. Each pays differently, everyone is in a different time zone, and the tax office in your new country wants a document for every payment. In CognitEase each client has their own currency, payment method and session time, and receipts and invoices follow the rules of the country you now live in.

When your practice is in one country and your clients in three

  • For your client in Tbilisi, you work out the dollar rate in your head every time.
  • You agreed on “15:00”, and each of you is sure it means your own 15:00.
  • Your tax advisor asks for the quarter’s receipts, and they’re buried in your client chats.
  • A friend recommends you to a colleague, and she asks: “So how do I book with you?”

One bot for every country your clients live in

You set prices in the currencies you work in: €80 for Berlin, $90 for Tbilisi, 350 zł for Warsaw, with no exchange rates or conversion. The payment methods are yours too: a local bank account, Wise, PayPal, a card. The client picks their currency and method and pays you directly. Everyone sees the session time in their own time zone, and nobody has to do the math anymore.

Once payment is confirmed, the client gets a receipt or invoice that matches your tax status: with VAT, with an exemption reason such as “§ 19 UStG”, or with no tax line at all. The document language is set separately from the interface language, so your records are in the local language while the app stays in yours. At the end of the month, you send your advisor all the documents in one archive.

The CognitEase features that matter after a move

  • A separate price in each currency.

Euros, dollars, złoty: as many currencies as you need, each with its own amount.

  • Payment methods by country.

Wise and bank transfer for Europe, PayPal for clients overseas, a card for those close by.

  • Documents under your new country’s rules.

A receipt or invoice with your address, your tax status, sequential numbering, and voiding instead of deleting.

  • Everyone in their own time zone.

You’re in Berlin, your client is in Tbilisi. Each of you sees your own time, and reminders reach you both on time.

  • Four languages.

Russian, Ukrainian, English, German. You, your client and your documents can each use a different language.

  • A link instead of a website in your new country.

Your profile, reviews and verified-qualification badge behind one link that’s easy to pass on when someone recommends you.

Why relocation breaks the old setup.

Payments scatter across countries.

While all your clients lived in one country, one card was enough. After a move, each has their own bank, currency and habits, and the back-and-forth about “where and how much” takes longer than the payment itself. Once the currency and method are chosen and saved for the client, that conversation is over.

Bookkeeping becomes an obligation.

Registering as self-employed or as a sole proprietor in a new country means a document for every payment, under local rules and in the local language. You no longer need a Word template or to wonder what the last number was: the receipt or invoice is filled in from your settings and the booking details.

Clients stay, tools change.

The clients you’ve gathered over the years don’t go anywhere; they just end up in other countries. What they still have in common is Telegram. The bot with your name and link works for them the same as before, wherever you are now.

Who this helps after a move.

Psychologists who have relocated and continue their online practice with existing clients, and those building a new client base in their new country who don’t want to lose the old one.

Questions after relocating.

Can I work with clients in different countries at the same time?

Yes. You set the price in each currency separately and add any payment methods you like: bank account, Wise, PayPal, card, payment link. Each client sees only the methods that match their currency.

What goes in the tax line of the document?

Whatever your tax status requires: VAT included in the price, an exemption with its legal basis such as “§ 19 UStG”, or no tax line. You enter the wording yourself; we don’t check it and don’t give tax advice.

What language will the client’s invoice be in?

The language you chose for documents, regardless of the interface language or the client’s language.

What will my existing clients see after I move?

Nothing changes for them. The bot link is the same, and bookings and history stay in place. Only what you change yourself will be different: price, currencies, payment methods.

Clients in three countries, and your whole practice in one bot.
