When your calendar lives in your head

  • Three sessions in your calendar, two more in your head, and one that’s “probably Friday, need to check.”
  • A client in another time zone booked “15:00,” and you both assume it’s your own 15:00.
  • Someone booked a free first consultation a week ago, didn’t show up, and an hour dropped out of your week.
  • You agreed on the next session at the end of this one, and a day later the client writes: “Remind me, when did we say?”

Schedule, reschedules and time zones

You set when you’re available to work instead of answering everyone one by one. Clients see only the hours where a session actually fits, taking into account its length and the break between sessions. Two people can’t book the same slot, for a vacation you simply block the days, and time zone differences are no longer your problem: everyone sees their own time.

Rescheduling stops being a negotiation. The client reschedules on their own, the payment moves to the new time, and you find out from a notification. When you need to move a session, you propose a time and the client agrees with one tap. You agree on the next session at the end of the call, and the client is already booked while you’re saying goodbye.

What makes a calm week

  • Open times calculated for you.

    A 50-minute session, a 10-minute break, bookings at 9:00 and 11:00. The client can book 10:00, but not 10:30, because it won’t fit.

  • Rescheduling from both sides.

    The client picked a new time on their own, and you got “was Thursday 15:00, now Friday 12:00.” If you want to reschedule, the client confirms with one tap.

  • A trial session people actually attend.

    A free 20 minutes for new clients. If a client booked well in advance, they’re asked to confirm the day before, and with no reply the slot opens up again.

  • Booking from the call.

    “Same time next Tuesday, then?” The client is booked while you’re saying goodbye, with no messaging afterward.

  • Everyone in their own time zone.

    You’re in Berlin, your client is in Tbilisi. You both see your own time, and nobody has to do the math.

  • Your morning starts with a list.

    “3 sessions today: 10:00 Anna Freud, 14:00 Carl Rogers, 18:00 Melanie Klein” and which of them have already paid.

Why “just a calendar” doesn’t work for a practice.

A calendar knows nothing about payment.

A regular calendar shows a meeting. Here you see, for every booking, whether it has been paid: awaiting payment, payment sent, confirmed. A session starts only with a confirmed payment or as a free trial, and an unpaid booking doesn’t sit there for weeks holding the slot. You don’t keep a second spreadsheet of who has paid.

Trial sessions without empty slots.

A free first consultation brings in clients, but it also has the most no-shows: booking in advance is easy, and a week later showing up doesn’t feel as important. That’s why it has a confirmation rule: the day before, the client is asked to confirm, gets one more reminder, and without a reply the time opens up for others. You choose how far ahead a booking has to be for this to apply.

Rescheduling breaks nothing.

A rescheduled session keeps its payment and its history: you can see what it was and what it is now. Frequent rescheduling shows up in the client’s reliability rating, but isn’t penalized.

For those who see clients across two or three time zones, those who offer a free first consultation and are tired of “sorry, I forgot,” and those who want to know their week’s schedule without opening three apps.

Questions about booking.

Can I cancel a booking myself?

For now, only the client can cancel, and only while the payment isn’t confirmed. You can propose a reschedule or leave the payment unconfirmed: after 48 hours the booking is canceled. Cancellation by the specialist is planned.

How many times can a client reschedule?

As many times as they like until the session starts, even if it’s already paid. You get a notification about every reschedule. A blocked client can’t reschedule.

Can I set cancellation rules?

Your rules are published in the bot as a document, and clients can see them. The bot doesn’t enforce deadlines or fees automatically; that’s an agreement between you and the client.

What if two people pick the same time?

Whoever books first gets the slot. The second person sees “This time is already taken” and picks another.

Can a client book any time they want?

Only open times within your schedule, taking session length and breaks into account. Only you can book someone outside your schedule.
